The No-Show Policy as approved at the General Assembly dated September 12th, 2017
In the case that a normal member has registered for an activity* organized by SVTN “J.D. van der Waals” and is not present without any form of notification sent to the board or the organizing committee before the activity starts, his or her right to register for the next 3 recreational activities** that are already planned and that registration has not yet opened for. The 3 activities in question will determined by the board. However, these 3 recreational activities should be scheduled within 4 weeks (holidays and exam periods excluded) after the No-Show. The person in question will be put on a blacklist for these activities (with a maximum of 4 weeks excluded holidays and exams periods).
The board has to make sure that:
Every member that has registered for an activity will receive at least one confirmation, before the final registration and deregistration date.
That when registering for an activity it will be clear how and with whom the member could deregister.
Every member of the board is informed who is currently on the black list, this way the policy can be executed.
First year members of SVTN “J.D. van der Waals” are excluded from this policy. For these members a ‘two strikes and you’re out system’ is implemented. This means that in the case of a member in the first year it will be condoned once if said member does not show up without the appropriate notification. If this happens two times, the policy described above will be upheld.
All members must pay the activity contribution if he or she does not show up.
*Concerns all activities for which a member is able to register.
** Excludes N-party and regular Borrels.
The board will always have the right to differ from the policy above for special cases.
